Job Description

We are seeking a dedicated and compassionate Virtual Admin Support professional with a strong focus on social care principles to join our network. This is a unique opportunity to apply your administrative expertise in a role that makes a real difference, supporting organizations and clients within the social care sector. While NDIS (National Disability Insurance Scheme) is an Australian framework, this role emphasizes a deep understanding of similar structured social care environments, client-centric support, and the sensitive handling of information critical to community support services in Canada. You will be responsible for providing comprehensive administrative assistance remotely, ensuring smooth operations for our clients who are dedicated to improving lives.

Key Responsibilities

  • Manage and organize virtual calendars, appointments, and schedules for social care professionals and clients.
  • Handle sensitive client information with the utmost confidentiality and discretion, adhering to privacy regulations (e.g., FOIP, HIPAA if applicable).
  • Assist with client intake processes, documentation, and record-keeping, ensuring accuracy and compliance.
  • Prepare and format reports, presentations, and correspondence related to social care programs and client progress.
  • Coordinate and facilitate virtual meetings, workshops, and training sessions, including technology setup and participant support.
  • Process invoices, expense reports, and track budget expenditures relevant to client support services.
  • Conduct research to support program development or client needs within the social care landscape.
  • Communicate effectively with clients, stakeholders, and team members, demonstrating empathy and professionalism.
  • Proactively identify and address administrative needs to enhance efficiency and service delivery.

Required Skills

  • Proven experience in an administrative support role (minimum 1 year)
  • Exceptional organizational and time management skills
  • High level of proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace
  • Strong written and verbal communication skills in English
  • Demonstrated ability to handle confidential information with integrity
  • Empathy, patience, and a client-focused approach
  • Reliable high-speed internet connection and a dedicated home office setup
  • Ability to work independently and as part of a virtual team

Preferred Qualifications

  • Experience working within a social care, healthcare, or non-profit environment
  • Familiarity with case management software or client relationship management (CRM) systems
  • Understanding of disability services or community support programs in Canada
  • Post-secondary education in Administration, Social Work, or a related field
  • Experience with virtual communication and collaboration tools (e.g., Zoom, Microsoft Teams)
