Job Description

Are you a highly organized and detail-oriented individual with a passion for supporting others? CoachHub is seeking a dedicated Life Coaching Assistant with an administrative focus to join our dynamic team. This role is crucial for ensuring the smooth operation of our coaching programs by providing comprehensive administrative support to our network of coaches and clients. While this position is primarily remote, we value individuals who can seamlessly integrate into a virtual team environment and contribute to a positive, supportive culture.

Key Responsibilities

  • Manage and coordinate complex scheduling for coaches and clients, ensuring timely and efficient appointments.
  • Prepare and format coaching materials, reports, and presentations with high accuracy.
  • Maintain organized digital client files and databases, ensuring data integrity and confidentiality.
  • Respond to client and coach inquiries via email and chat, providing professional and timely assistance.
  • Assist with onboarding new coaches and clients, guiding them through initial setup and platform usage.
  • Support billing and invoicing processes, tracking payments and managing related documentation.
  • Perform general administrative tasks to support the coaching operations team as needed.
  • Collaborate with internal teams to streamline administrative processes and improve efficiency.

Required Skills

  • Proven experience in an administrative or support role.
  • Exceptional organizational and time management skills, with the ability to multitask effectively.
  • Strong verbal and written communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • High level of attention to detail and accuracy.
  • Ability to work independently and proactively in a remote environment.
  • Discretion and an understanding of confidentiality requirements.
  • A genuine interest in personal development, coaching, or wellness.

Preferred Qualifications

  • Previous experience supporting coaches, consultants, or executive-level professionals.
  • Familiarity with CRM software (e.g., Salesforce, HubSpot) or scheduling tools.
  • Experience working in a remote or distributed team setting.
  • A degree or certification in business administration, office management, or a related field.
