Job Description

We are seeking a dedicated and compassionate Remote Patient Appointment Scheduler to join our dynamic healthcare call center team. In this 100% remote role, you will be the first point of contact for patients seeking medical appointments, providing essential support and ensuring a seamless booking experience. You will manage incoming calls, schedule appointments for various clinics and specialists, provide patient information, and maintain accurate records within our system. This role requires excellent communication skills, empathy, and a strong commitment to patient care in a fast-paced environment.

Key Responsibilities

  • Answer incoming calls promptly and professionally, demonstrating empathy and active listening.
  • Schedule, reschedule, and cancel patient appointments accurately for multiple healthcare providers and clinics.
  • Verify patient demographics, insurance information, and appointment details.
  • Provide patients with clear instructions, preparation guidelines, and necessary follow-up information.
  • Document all interactions and update patient records in the electronic health record (EHR) system.
  • Collaborate with clinical staff to resolve scheduling conflicts and patient inquiries.
  • Adhere to all patient privacy regulations (e.g., PHIPA, HIPAA) and company policies.
  • Maintain a high level of customer satisfaction through professional and courteous service.
  • Participate in ongoing training and professional development opportunities.

Required Skills

  • Minimum 1 year of experience in a call center or customer service role, preferably in healthcare.
  • Excellent verbal and written communication skills in English.
  • Proficiency in using computer systems, including Microsoft Office Suite and scheduling software.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • High school diploma or equivalent.
  • Reliable high-speed internet connection and a quiet home office environment.

Preferred Qualifications

  • Experience with Electronic Health Record (EHR) systems.
  • Knowledge of medical terminology.
  • Post-secondary education in healthcare administration or a related field.
  • Bilingualism (English and French) is considered an asset.
