Job Description
We are seeking a highly organized and detail-oriented Virtual Secretary to join our dynamic team. This is a unique opportunity for someone who excels in written communication and prefers a text-only interaction environment. You will be responsible for providing comprehensive administrative support remotely, managing various tasks to ensure smooth operations for our internal teams and clients. This role is 100% remote, allowing you to work from anywhere in Australia. No phone calls are required or expected in this position.
Key Responsibilities
- Manage and organize digital documents, files, and records efficiently.
- Draft, proofread, and format various text-based communications, including emails, reports, and presentations.
- Schedule and coordinate virtual meetings and appointments, sending out text-based reminders and agendas.
- Assist with data entry and maintaining databases with accuracy and attention to detail.
- Conduct online research and compile summaries as needed.
- Process text-based requests and inquiries from team members and clients promptly.
- Handle confidential information with discretion and professionalism.
- Support various administrative projects and tasks as assigned.
- Ensure all written communications adhere to company brand guidelines and standards.
Required Skills
- Exceptional written communication and grammar skills.
- Proficiency in Google Workspace (Gmail, Docs, Sheets, Calendar) or Microsoft Office Suite.
- Strong organizational and time management abilities.
- Excellent attention to detail and accuracy.
- Ability to work independently and manage multiple tasks in a remote environment.
- Familiarity with virtual collaboration tools (e.g., Slack, Microsoft Teams for text chat).
- High level of professionalism and discretion.
Preferred Qualifications
- Previous experience in a virtual administrative or secretarial role.
- Experience working with cloud-based software platforms.
- A diploma or certificate in administration or a related field.
