As a Virtual Office Partner focusing on Logistics & Transport, you will be the backbone of our remote administrative and operational support, ensuring seamless communication and efficient processes within our logistics network. You will leverage your excellent organizational skills and attention to detail to manage critical data, coordinate schedules, and support our transport teams from afar.

Key Responsibilities
- Provide comprehensive administrative support to the logistics and transport departments, entirely remotely.
- Coordinate and schedule transport activities, including freight movements, driver assignments, and vehicle maintenance, using digital tools.
- Manage and update logistics databases, ensuring accuracy and data integrity for all shipments and operations.
- Communicate effectively with carriers, drivers, clients, and internal teams via phone, email, and virtual collaboration platforms.
- Process documentation related to shipments, customs, and compliance, ensuring all regulatory requirements are met.
- Assist with invoice processing, expense tracking, and other financial administrative tasks relevant to transport operations.
- Monitor and report on key performance indicators (KPIs) for logistics efficiency and on-time delivery.
- Troubleshoot and resolve operational issues remotely, escalating complex problems to relevant stakeholders.
- Support the implementation of new logistics technologies and process improvements.
- Maintain a high level of confidentiality and discretion in all business dealings.
Required Skills
- Proven administrative or operational support experience, preferably in logistics, transportation, or supply chain.
- Exceptional organizational and time management abilities, with a proven track record of managing tasks independently.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with logistics management software (e.g., TMS, WMS).
- Strong written and verbal communication skills, with the ability to articulate complex information clearly and concisely.
- Excellent problem-solving skills and a proactive approach to identifying and resolving issues.
- Ability to work effectively in a fully remote environment, demonstrating self-discipline and accountability.
- High attention to detail and accuracy in data entry and documentation.
Preferred Qualifications
- A diploma or degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Previous experience with a major freight forwarder, 3PL provider, or transport company.
- Familiarity with Canadian and cross-border transportation regulations.
- Experience using virtual collaboration tools like Microsoft Teams, Zoom, or Slack.
