Job Description

We are seeking an exceptionally polished and client-focused Med-Spa Coordinator to join our prestigious Walthamstow clinic. This pivotal role is the first point of contact for our discerning clientele, requiring a blend of administrative prowess, genuine warmth, and impeccable organizational skills. Key Responsibilities

  • Manage and optimize clinic appointment schedules, ensuring efficient client flow and practitioner availability.
  • Warmly greet and welcome all clients, managing check-ins and check-outs with professionalism and discretion.
  • Handle client inquiries via phone, email, and in-person, providing accurate information about treatments and services.
  • Process payments, manage client accounts, and maintain meticulous records using our CRM system.
  • Maintain the pristine appearance of the reception area and client lounges, ensuring a luxurious and comfortable environment.
  • Coordinate client consultations, follow-up appointments, and post-treatment care instructions.
  • Assist with inventory management of retail products and clinic supplies.
  • Collaborate closely with practitioners and management to ensure a cohesive and high-standard client journey.
  • Resolve client concerns and feedback with empathy and efficiency, escalating when necessary.
  • Contribute to a positive and professional clinic atmosphere.

Required Skills

  • Minimum of 2 years experience in a high-end customer service or client-facing role (e.g., luxury retail, hospitality, private healthcare).
  • Exceptional verbal and written communication skills with a refined telephone manner.
  • Proven ability to manage complex schedules and multiple priorities effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM software.
  • Demonstrated strong organizational skills and attention to detail.
  • Professional demeanor and appearance, with a positive and proactive attitude.
  • Ability to maintain strict client confidentiality.

Preferred Qualifications

  • Previous experience within a medical spa, aesthetic clinic, or healthcare environment.
  • Familiarity with clinic management software (e.g., Mindbody, Booker, Aesthetic Record).
  • Understanding of medical aesthetics terminology and treatments.
  • Certification in customer service or hospitality management.
