Job Description

We are seeking a diligent and detail-oriented Procurement Admin Assistant to join our dynamic Buying & Supply team in Great Yarmouth. This role is crucial in supporting the efficient operation of our procurement department, ensuring smooth administrative processes, and contributing to the timely and cost-effective acquisition of goods and services. The successful candidate will play a key role in maintaining supplier relationships, processing purchase orders, and managing procurement documentation. Key Responsibilities

  • Process purchase requisitions and convert them into purchase orders accurately and efficiently.
  • Maintain procurement records, including vendor files, contracts, and pricing agreements.
  • Assist in supplier communication, including inquiries regarding order status, delivery, and invoicing.
  • Reconcile invoices with purchase orders and delivery notes, resolving discrepancies as needed.
  • Prepare and generate procurement reports, assisting with data analysis for decision-making.
  • Coordinate with internal departments to ensure timely delivery of materials and services.
  • Support the negotiation process by gathering information and preparing documentation.
  • Manage office supplies inventory and place orders as required for the department.
  • Perform general administrative duties to support the procurement team.

Required Skills

  • Proven administrative experience, preferably in a procurement or supply chain environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong organizational skills and meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Numeracy and ability to handle financial data accurately.

Preferred Qualifications

  • Associate's degree or equivalent vocational training in Business Administration, Supply Chain, or a related field.
  • Familiarity with Enterprise Resource Planning (ERP) systems, particularly procurement modules.
  • Understanding of basic procurement processes and best practices.
  • Experience with contract management or supplier relationship management.
