Job Description

We are seeking an organized and proactive Fleet Coordinator for Corporate Travel & Logistics to join our dynamic team. This is a fully remote (Work From Home) position based out of the Plano, TX area. In this role, you will be responsible for coordinating all aspects of our corporate fleet operations and supporting travel logistics for our employees. You will ensure the efficient and safe operation of company vehicles, manage vendor relationships, and contribute to a seamless travel experience for our staff worldwide. The ideal candidate will have strong organizational skills, attention to detail, and a passion for providing exceptional support in a fast-paced environment.

Key Responsibilities

  • Coordinate the acquisition, registration, maintenance, and disposal of company vehicles.
  • Manage vehicle assignment and tracking, ensuring compliance with company policies and safety standards.
  • Act as a primary point of contact for employees regarding fleet-related inquiries and issues.
  • Oversee fuel card management and mileage tracking, preparing regular reports.
  • Assist with corporate travel bookings, itinerary management, and expense reporting for assigned projects/teams.
  • Liaise with external vendors (e.g., car rental companies, repair shops, travel agencies) to ensure optimal service and cost-effectiveness.
  • Maintain accurate records of fleet inventory, maintenance schedules, and travel data.
  • Support the development and implementation of fleet and travel policies and procedures.
  • Provide administrative support to the Corporate Travel & Logistics team as needed.

Required Skills

  • Excellent organizational and time management skills.
  • Proficiency in Google Suite (Docs, Sheets, Slides) or Microsoft Office (Word, Excel, PowerPoint).
  • Strong communication and interpersonal skills.
  • Ability to work independently and manage multiple tasks in a remote environment.
  • Attention to detail and problem-solving abilities.
  • Experience with fleet management software or travel booking platforms.

Preferred Qualifications

  • Associate's degree in Business Administration, Logistics, or a related field.
  • 1-2 years of experience in fleet coordination, logistics, or corporate travel administration.
  • Knowledge of vehicle maintenance and safety regulations.
  • Familiarity with international travel considerations and logistics.
  • Experience working in a fast-paced, global organization.
