Job Description

We are seeking a highly organized and proactive Executive Aide to provide comprehensive administrative support to our senior executives in Miami. This pivotal role ensures the efficient operation of the executive office, managing complex schedules, communications, and critical projects. The ideal candidate will demonstrate exceptional discretion, a strong work ethic, and the ability to anticipate needs in a fast-paced corporate environment. This is an on-site position located in our dynamic Brickell office.

Key Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Coordinate and organize executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle confidential information with the utmost discretion and professionalism.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and emails.
  • Process expense reports, invoices, and other financial documentation.
  • Assist with special projects and initiatives as assigned by executives.
  • Oversee office supply inventory and maintain a well-organized executive office space.

Required Skills

  • Minimum of 4 years of experience as an Executive Assistant or Executive Aide supporting C-suite or senior leadership.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • High level of professionalism and attention to detail.
  • Ability to manage multiple priorities and deadlines effectively.

Preferred Qualifications

  • Bachelor’s degree in Business Administration or a related field.
  • Experience in the financial services industry.
  • Familiarity with project management tools and software.
