Job Description

We are seeking a dedicated and organized Manufacturing Admin Assistant to join our factory team in New Port Richey, Florida. This crucial role provides comprehensive administrative support to ensure the smooth and efficient operation of our manufacturing facility. You will be instrumental in managing day-to-day office tasks, coordinating factory-related documentation, and supporting various departments to maintain optimal productivity and organization within our dynamic production environment.

Key Responsibilities

  • Provide administrative support to the factory management team and various departments.
  • Manage and organize factory-related documentation, including production reports, safety logs, and quality control records.
  • Assist with scheduling appointments, meetings, and travel arrangements for factory personnel.
  • Maintain office supplies inventory and place orders as needed.
  • Process incoming and outgoing mail, emails, and phone calls, directing them appropriately.
  • Support human resources functions such as onboarding paperwork and record keeping for factory staff.
  • Coordinate communication between different factory shifts and departments.
  • Assist with data entry and maintain accurate records in our internal systems.
  • Facilitate visitor check-ins and ensure compliance with factory security protocols.
  • Help prepare presentations, reports, and other documents as required.
  • Support inventory management tasks, including data entry for material receipts and dispatches.
  • Ensure a tidy and organized administrative area within the factory.
  • Assist with special projects and initiatives to improve factory efficiency and operations.

Required Skills

  • Proven experience in an administrative support role, preferably in a manufacturing or industrial setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Proactive attitude and strong problem-solving abilities.
  • Ability to handle confidential information with discretion.
  • Basic understanding of factory operations and safety protocols.

Preferred Qualifications

  • Associate's degree in Business Administration or a related field.
  • Experience with Enterprise Resource Planning (ERP) systems (e.g., SAP).
  • Familiarity with manufacturing processes and terminology.
  • Prior experience in a fast-paced production environment.
