Job Description
We are seeking a dedicated and organized Clerical Assistant to join our Department of Education team. This vital role supports the administrative functions of our department, ensuring efficient operations particularly during term time. The successful candidate will be responsible for a variety of clerical duties, providing essential support to staff, faculty, and the public. This position requires strong organizational skills, attention to detail, and a professional demeanor in a busy educational environment.
Key Responsibilities
- Manage and maintain accurate student records, faculty files, and general office documentation.
- Prepare, proofread, and distribute correspondence, reports, memos, and other documents.
- Answer and direct phone calls, greet visitors, and provide information to inquiries in a professional manner.
- Schedule appointments, meetings, and manage calendars for department staff.
- Assist with data entry, spreadsheet management, and basic database operations.
- Handle incoming and outgoing mail, packages, and deliveries.
- Order and maintain office supplies, ensuring adequate stock levels.
- Support event coordination and logistical arrangements for departmental activities.
- Perform general administrative tasks as assigned to ensure smooth office functioning.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
