Job Description
We are seeking a warm, organized, and detail-oriented Afternoon Receptionist to join our administrative team. This part-time role offers a flexible roster, perfect for individuals looking to balance work with other commitments. As the first point of contact for our visitors and callers, you will play a crucial role in creating a positive and welcoming experience. Your primary responsibilities will include managing incoming calls, greeting guests, scheduling appointments, and providing administrative support during the afternoon hours.
Key Responsibilities
- Greet and welcome guests in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls, taking accurate messages when necessary.
- Manage appointment scheduling and calendar coordination.
- Maintain a tidy and presentable reception area.
- Receive and sort daily mail/deliveries.
- Provide general administrative and clerical support to various departments.
- Assist with data entry and record-keeping as required.
- Handle basic inquiries and provide accurate information to visitors and callers.
- Uphold confidentiality and handle sensitive information with discretion.
Required Skills
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Hands-on experience with office equipment (e.g., fax machines, printers).
- Professional attitude and appearance.
- Excellent written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
Preferred Qualifications
- High school diploma; additional certification in Office Management is a plus.
- Experience in a healthcare or medical office environment.
- Familiarity with electronic health record (EHR) systems.
- Bilingual skills (e.g., Spanish/English) are a plus.
