Job Description
We are seeking a highly organized, proactive, and exceptionally detail-oriented WFH Executive Liaison with a high-level administrative focus to support our senior leadership team. This 100% remote position requires an individual with a proven track record in executive support, project coordination, and advanced administrative management within a fast-paced corporate environment. You will be instrumental in ensuring the seamless operation of executive-level activities, managing complex schedules, facilitating communications, and overseeing critical administrative projects. This role demands discretion, excellent communication skills, and the ability to anticipate needs and act autonomously.
Key Responsibilities
- Provide comprehensive administrative and operational support to senior executives, managing complex calendars, scheduling meetings, and coordinating travel arrangements (when necessary).
- Prepare, proofread, and edit high-level correspondence, presentations, reports, and other documents, ensuring accuracy and professional presentation.
- Act as a primary point of contact for internal and external stakeholders, handling inquiries with professionalism and discretion.
- Coordinate and manage special projects and initiatives from inception to completion, tracking progress, and ensuring deadlines are met.
- Organize and facilitate virtual meetings, including preparing agendas, recording minutes, and tracking action items.
- Maintain confidentiality of sensitive information and exercise sound judgment in all interactions.
- Develop and implement efficient administrative processes to optimize executive support functions.
- Manage expense reports and budget tracking for executive offices.
- Support onboarding processes for new team members and assist with departmental resource management.
Required Skills
- Minimum of 5 years of experience in an Executive Assistant or Executive Liaison role supporting C-suite or senior executives.
- Exceptional organizational and time management skills with the ability to prioritize effectively in a dynamic environment.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Microsoft Teams, Zoom).
- Superior written and verbal communication skills, with a keen eye for detail and grammar.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Proactive problem-solver with strong critical thinking abilities.
- Ability to work independently and manage multiple tasks simultaneously in a remote setting.
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience working in the financial services industry.
- PMP or other project management certification.
- Familiarity with CRM systems and advanced database management.
