Job Description

Are you a highly organized and proactive individual with a deep understanding of the Getting Things Done (GTD) methodology? We are seeking a dedicated Virtual Action Partner to join our dynamic team and provide comprehensive support to our executives and project leads. In this 100% remote role, you will be instrumental in ensuring that critical tasks, projects, and communications are managed efficiently and effectively. You will act as a force multiplier, transforming ideas into actionable steps, tracking progress, and removing obstacles to ensure timely completion. Key Responsibilities

  • Implement and maintain the Getting Things Done (GTD) methodology across various projects and executive workflows.
  • Proactively capture, clarify, organize, reflect on, and engage with tasks and projects for assigned stakeholders.
  • Manage executive calendars, scheduling meetings, and ensuring preparation materials are organized.
  • Filter and prioritize communications (emails, messages) and draft responses as needed.
  • Track project progress, identify potential roadblocks, and facilitate solutions.
  • Set up and manage digital workspaces and productivity tools (e.g., Asana, Trello, Notion, Jira).
  • Prepare agendas, record meeting minutes, and follow up on action items to ensure completion.
  • Research and compile information for reports, presentations, and decision-making processes.
  • Serve as a reliable point of contact for internal and external stakeholders, ensuring smooth information flow.
  • Continuously identify areas for process improvement and implement best practices to enhance efficiency.

Required Skills

  • Expertise in the Getting Things Done (GTD) methodology and principles.
  • Proven experience in administrative support, project coordination, or executive assistance.
  • Exceptional organizational and time management skills.
  • Proficiency with modern productivity and collaboration tools (e.g., Microsoft 365, Google Workspace, project management software).
  • Excellent written and verbal communication skills.
  • High degree of proactivity, initiative, and problem-solving ability.
  • Ability to work independently and manage multiple priorities in a remote setting.

Preferred Qualifications

  • GTD Certification or equivalent training.
  • Experience working in a large corporate or technology-driven environment.
  • Familiarity with Agile project management methodologies.
  • Bachelor's degree in Business Administration, Communications, or a related field.
