Job Description

We are seeking a dedicated and detail-oriented Records Admin Assistant with a strong focus on archive and digital records management. In this vital role, you will be instrumental in supporting the efficient organization, preservation, and accessibility of both physical and digital records. A key aspect of this position involves contributing to our ongoing efforts to digitize historical documents and streamline our information management systems. Key Responsibilities

  • Manage and organize physical and digital records in accordance with established policies and procedures.
  • Assist in the digitization of historical documents, research data, and administrative archives.
  • Maintain accurate indexing, cataloging, and metadata for all records within document management systems (DMS).
  • Process and respond to records retrieval requests promptly and efficiently, ensuring proper access control.
  • Ensure strict compliance with data privacy regulations, internal record retention schedules, and industry best practices.
  • Provide comprehensive administrative support to the records management team and other departments as needed.
  • Participate in the development and implementation of digital archiving strategies and record-keeping improvements.
  • Conduct regular audits of records to ensure completeness, accuracy, and proper storage conditions.

Required Skills

  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and SharePoint.
  • Demonstrated experience with document management systems (DMS) or electronic records management (ERM) software.
  • Strong organizational skills with an exceptional ability to manage multiple tasks and prioritize effectively.
  • Meticulous attention to detail and a high degree of accuracy in all tasks.
  • Ability to handle confidential and sensitive information with the utmost discretion and integrity.
  • Familiarity with general record-keeping principles, best practices, and information governance.

Preferred Qualifications

  • Associate's degree in Library Science, Information Management, Archival Studies, or a related field.
  • Experience with specialized archival software or digital asset management (DAM) tools.
  • Knowledge of federal or state records management regulations (e.g., NARA guidelines).
  • Prior experience working in a scientific, research, or government contracting environment.
  • Certification in Records Management (e.g., CRM) or Information Governance (e.g., IGI+).
