Job Description
We are seeking a diligent and organized Property Admin Assistant with a strong focus on tenancy management to join our dynamic team in Milwaukee. This role is crucial in supporting our property management operations, ensuring smooth tenant relations, efficient administrative processes, and overall property success. The ideal candidate will be a proactive problem-solver with excellent communication skills and a meticulous eye for detail, contributing significantly to our residents’ positive experience.
Key Responsibilities
- Assist in the entire tenancy lifecycle, from application processing to lease renewals and move-outs.
- Prepare, distribute, and manage lease agreements, addendums, and other tenancy-related documentation.
- Maintain accurate and up-to-date tenant records, including contact information, payment history, and communication logs.
- Respond to tenant inquiries, concerns, and maintenance requests in a timely and professional manner, escalating issues as necessary.
- Coordinate with maintenance teams and external vendors for repairs and property upkeep.
- Process rent payments, track outstanding balances, and assist with rent collection efforts.
- Prepare notices, statements, and other official correspondence to tenants.
- Support the property manager with various administrative tasks, including scheduling appointments, managing calendars, and preparing reports.
- Ensure compliance with all relevant housing laws and company policies regarding tenancy.
Required Skills
- Proven administrative experience, preferably in a property management or real estate setting.
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle sensitive information with confidentiality and discretion.
- Detail-oriented with a high level of accuracy.
- Strong customer service orientation.
Preferred Qualifications
- Associate's degree in Business Administration, Real Estate, or a related field.
- Experience with property management software (e.g., Yardi, AppFolio, RealPage).
- Knowledge of fair housing laws and tenant-landlord regulations.
- Previous experience in a role with direct tenant interaction.
