Job Description

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to senior leadership. This is a 100% remote position, offering flexibility while maintaining close collaboration with executives across different time zones. The ideal candidate will be a self-starter with exceptional communication skills, a keen eye for detail, and the ability to manage multiple priorities in a fast-paced environment. You will be instrumental in ensuring the smooth operation of daily administrative tasks, scheduling, travel arrangements, and project support, contributing directly to the efficiency and success of our leadership team.

Key Responsibilities

  • Manage complex calendars, including scheduling meetings, appointments, and conferences, with an emphasis on optimizing executive time.
  • Coordinate all aspects of domestic and international travel arrangements, including flights, accommodation, ground transportation, and detailed itineraries.
  • Prepare and review correspondence, reports, presentations, and other documents, ensuring accuracy and adherence to company standards.
  • Act as a primary point of contact, screening calls and emails, and exercising sound judgment in prioritizing and redirecting communications.
  • Organize and facilitate virtual meetings, including setting up technology, preparing agendas, taking minutes, and distributing materials.
  • Process expense reports, invoices, and other financial documentation in a timely and accurate manner.
  • Assist with special projects and initiatives as assigned by senior leadership, requiring research, data compilation, and presentation development.
  • Maintain strict confidentiality regarding sensitive information and executive communications.
  • Anticipate needs and proactively address potential issues or conflicts, demonstrating strong problem-solving skills.
  • Foster positive working relationships with internal stakeholders and external contacts.

Required Skills

  • Proven experience as an Executive Assistant supporting senior-level executives.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Microsoft Teams, Zoom).
  • Excellent written and verbal communication skills, with a professional and articulate demeanor.
  • High level of discretion and ability to handle confidential information with integrity.
  • Strong problem-solving abilities and proactive approach to task management.
  • Ability to work independently and as part of a remote team.
  • Attention to detail and accuracy in all work performed.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience working in a large, matrixed organization, preferably within the financial services industry.
  • Familiarity with project management principles and tools.
  • Ability to adapt to new technologies and processes quickly.
