Job Description
We are seeking a highly organized and proactive WFH EA Project Lead with a strong focus on supporting our remote engineering teams. This role combines executive administrative assistance with critical project coordination, ensuring our engineering leadership and teams operate seamlessly and efficiently across time zones. You will be instrumental in managing complex schedules, facilitating communication, tracking project milestones, and providing high-level administrative support to senior engineering executives.
Key Responsibilities
- Provide comprehensive executive administrative support to one or more senior engineering leaders, including calendar management, travel arrangements (minimal, as remote), and expense reporting.
- Act as a central point of contact for remote engineering teams, facilitating communication and information flow between leadership and distributed teams.
- Coordinate and manage key engineering projects, tracking progress, deadlines, and deliverables, and identifying potential roadblocks.
- Organize and manage virtual meetings, workshops, and team events, including agenda preparation, minute-taking, and follow-up actions.
- Develop and maintain documentation, reports, and presentations for engineering projects and leadership updates.
- Proactively identify and implement solutions to improve operational efficiency and workflow for remote engineering teams.
- Handle confidential information with discretion and maintain a high level of professionalism.
Required Skills
- Proven experience as an Executive Assistant supporting senior-level executives.
- Demonstrated project coordination or project management experience.
- Exceptional organizational and time management skills.
- Strong verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Microsoft Teams, SharePoint).
- Ability to work independently and proactively in a fast-paced, remote environment.
- Experience supporting engineering or technical teams.
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience with Agile methodologies or project management software (e.g., Azure DevOps, Jira).
- Familiarity with global and diverse team dynamics.
- Certification in Project Management (e.g., CAPM, PMP).
