Job Description

We are seeking a highly organized and proactive Financial Admin Assistant to join our Wealth Management team in Munich. This role is crucial in supporting our financial advisors and ensuring the smooth operation of client-facing and back-office activities. The ideal candidate will possess exceptional administrative skills, a keen eye for detail, and a foundational understanding of financial services.

Key Responsibilities

  • Provide comprehensive administrative support to wealth management advisors, including scheduling appointments and managing calendars.
  • Prepare and process client documentation, reports, and presentations with accuracy and efficiency.
  • Assist with client communication, including drafting correspondence and responding to inquiries under advisor supervision.
  • Maintain and update client records and databases, ensuring data integrity and confidentiality.
  • Coordinate internal and external meetings, including logistical arrangements and minute-taking.
  • Support compliance efforts by ensuring all administrative procedures adhere to regulatory guidelines.
  • Manage office supplies and equipment, and handle general office management tasks as needed.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Demonstrated attention to detail and accuracy.
  • Ability to work effectively in a fast-paced, professional environment.
  • Basic understanding of financial concepts and terminology.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Finance, or a related field.
  • Previous administrative experience in the financial services or wealth management industry.
  • Fluency in German (both written and spoken).
