Job Description
We are seeking a dedicated and organized Pharmacy Administrative Aide to join our team in Ottawa, Ontario. In this role, you will provide essential administrative support to our pharmacy management and staff, ensuring smooth daily operations. This is an excellent opportunity for an individual with strong organizational skills and a desire to contribute to a fast-paced healthcare setting. You will be instrumental in managing schedules, maintaining records, handling communications, and facilitating the efficient flow of information within the pharmacy.
Key Responsibilities
- Manage and organize pharmacy schedules for pharmacists and technicians.
- Maintain accurate patient and operational records, ensuring confidentiality and compliance.
- Assist with inventory management tasks, including ordering supplies and tracking stock.
- Prepare and process various administrative documents and reports.
- Handle incoming and outgoing communications, including phone calls, emails, and faxes.
- Coordinate meetings and appointments for pharmacy management.
- Support the onboarding process for new pharmacy staff members.
- Ensure the pharmacy's administrative areas are tidy and well-organized.
- Liaise with internal departments and external vendors as required.
- Assist with special projects and initiatives as directed by pharmacy management.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- High attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Discretion and ability to handle confidential information.
- Basic understanding of administrative procedures.
Preferred Qualifications
- Previous administrative experience in a healthcare or pharmacy setting.
