Job Description

We are seeking a highly motivated and detail-oriented Virtual Admin Support Specialist with a strong focus on the NDIS (National Disability Insurance Scheme) and broader social care sector. This fully remote position offers the opportunity to contribute to vital administrative functions, supporting our clients who operate within the NDIS framework and other social care initiatives. The ideal candidate will possess excellent organizational skills, a proactive attitude, and a genuine interest in supporting individuals with disabilities and vulnerable populations. You will play a crucial role in ensuring the smooth operation of our clients’ administrative processes, enabling them to focus on delivering exceptional care and support services. This role requires a high degree of autonomy, attention to detail, and the ability to manage multiple tasks effectively in a fast-paced virtual environment.

Key Responsibilities

  • Manage and organize client records, ensuring compliance with NDIS guidelines and privacy regulations.
  • Schedule and coordinate appointments, meetings, and events for NDIS participants and support staff.
  • Prepare and disseminate correspondence, reports, and other documents.
  • Assist with data entry, database management, and information retrieval.
  • Provide comprehensive administrative support to case managers and support coordinators.
  • Process invoices, track expenses, and assist with basic financial administration.
  • Handle inquiries via email and phone, providing professional and compassionate assistance.
  • Collaborate with team members to streamline administrative workflows and improve efficiency.
  • Stay updated on NDIS policy changes and social care best practices to ensure compliant support.
  • Undertake general administrative tasks as required to support the virtual office environment.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Demonstrated ability to work independently and as part of a virtual team.
  • High level of accuracy and attention to detail.
  • Familiarity with NDIS principles and processes.
  • Experience with CRM software or client management systems.
  • Problem-solving skills and a proactive approach to tasks.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Social Work, or a related field.
  • Previous experience working within the NDIS or Australian social care sector.
  • Experience with telehealth platforms and virtual communication tools.
  • Certification in administrative support or office management.
  • Understanding of disability support services and person-centered care models.
