Job Description

We are seeking a dedicated and detail-oriented Remote Microsoft Billing Assistant with an administrative focus to join our dynamic team. This role is crucial for ensuring the smooth and accurate processing of billing for various Microsoft-related projects and services. The ideal candidate will be highly organized, proficient with Microsoft Office Suite, and possess excellent communication skills. You will be responsible for a range of administrative tasks supporting our billing department, contributing to the financial health and operational efficiency of our projects. This is a 100% remote position, offering flexibility and the opportunity to work from anywhere in the United States.

Key Responsibilities

  • Process invoices, credit memos, and billing adjustments accurately and in a timely manner, specifically for Microsoft software licenses, cloud services, and related projects.
  • Reconcile billing discrepancies and resolve client queries regarding invoices, collaborating with project managers and client service teams.
  • Maintain and update client billing records and contracts within the company’s financial systems and Microsoft-specific portals.
  • Assist with month-end and year-end closing activities related to billing.
  • Generate and distribute billing reports, ensuring data integrity and adherence to financial guidelines.
  • Support the preparation of financial statements and audit documentation as needed.
  • Communicate effectively with internal departments and external clients regarding billing status and requirements.
  • Identify opportunities for process improvement within the billing cycle and contribute to their implementation.
  • Perform general administrative duties as required to support the billing department.

Required Skills

  • Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
  • Strong attention to detail and accuracy in data entry and financial record-keeping.
  • Excellent organizational and time management skills.
  • Ability to communicate effectively, both written and verbal.
  • Basic understanding of billing principles and accounting processes.
  • Ability to work independently and as part of a remote team.
  • Experience with remote collaboration tools (e.g., Microsoft Teams).

Preferred Qualifications

  • Associate's degree in Business Administration, Accounting, Finance, or a related field.
  • Previous experience (1-2 years) in a billing, accounting, or administrative support role.
  • Familiarity with financial management software (e.g., SAP, Oracle, Dynamics 365).
  • Experience working with Microsoft licensing or cloud service billing.
  • Demonstrated experience in a remote work environment.
