Job Description
We are seeking a diligent and organized High School Office Associate to join our administrative team. This role is primarily focused on managing physical and digital records through efficient filing and scanning processes. The ideal candidate will be meticulous, possess strong organizational skills, and be comfortable working in a fast-paced school office environment. This position is vital for maintaining accurate and accessible student and administrative records, supporting the overall functionality of the high school office.
Key Responsibilities
- Efficiently organize, file, and retrieve physical documents, including student records, attendance sheets, and administrative correspondence.
- Operate scanning equipment to convert paper documents into digital formats, ensuring high-quality images and accurate indexing.
- Maintain and update digital filing systems, adhering to established naming conventions and data security protocols.
- Assist with data entry tasks, ensuring the accuracy and completeness of information in various school databases.
- Manage office supplies related to filing and scanning, and assist with inventory management.
- Respond to inquiries regarding document location and retrieval in a professional and timely manner.
- Support the front desk operations as needed, including answering phones and greeting visitors.
- Maintain strict confidentiality of all sensitive student and school information.
- Collaborate with other office staff to ensure cohesive and efficient administrative support.
- Perform other clerical duties as assigned to support the high school office.
Required Skills
- Proven experience with office equipment, particularly scanners and multi-function printers.
- Strong organizational skills and exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to manage multiple tasks and prioritize effectively in a busy environment.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- High level of integrity and ability to maintain confidentiality.
Preferred Qualifications
- Previous experience working in a school or educational setting.
- Familiarity with student information systems (SIS) such as Synergy or PowerSchool.
- Experience with document management software.
- Associate's degree or relevant certification in office administration.
