Job Description
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to senior leadership. This critical role requires exceptional communication skills, the ability to manage multiple priorities in a fast-paced environment, and a strong sense of discretion. The ideal candidate will be a self-starter who thrives in a remote work setting and can anticipate needs, solve problems independently, and contribute to the smooth operation of executive functions. This is a 100% remote position, offering significant flexibility.
Key Responsibilities
- Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and maintain files and records, ensuring confidentiality and accessibility.
- Act as a primary point of contact for internal and external stakeholders.
- Coordinate and arrange executive team meetings, prepare agendas, and record minutes.
- Handle confidential information with the utmost discretion and integrity.
- Assist with special projects and initiatives as assigned by executives.
- Process expense reports and manage invoices.
- Facilitate effective communication flow within the executive team and across departments.
Required Skills
- Proven experience as an Executive Assistant or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to work independently and manage priorities effectively in a remote environment.
- High level of discretion and confidentiality.
- Problem-solving aptitude and proactive approach.
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
- Experience supporting multiple executives concurrently.
- Familiarity with project management tools and virtual meeting platforms.
- Experience in the consumer goods or corporate sector.
