Job Description
We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive support to a senior executive or a discerning high-net-worth client. This unique full-time, on-site role offers the exceptional benefit of all meals and private, on-site board provided, becoming an integral part of ensuring the smooth and efficient running of personal and professional affairs. The ideal candidate will possess impeccable organizational skills, a strong sense of responsibility, and the ability to anticipate needs and manage diverse tasks with minimal supervision. This role requires flexibility, confidentiality, and a polished demeanor within a fast-paced environment.
Key Responsibilities
- Manage complex calendars, scheduling appointments, meetings, and travel itineraries for the executive/client.
- Coordinate and arrange domestic and international travel, including flights, accommodations, and ground transportation.
- Handle all aspects of household management, including vendor coordination, property maintenance oversight, and supplies procurement.
- Assist with personal errands, shopping, and appointment scheduling as requested.
- Manage correspondence, emails, and phone calls with professionalism and discretion.
- Organize and maintain comprehensive filing systems, both digital and physical.
- Prepare and reconcile expense reports and assist with personal budget management.
- Coordinate events and social engagements, from planning to flawless execution.
- Perform various administrative tasks as required to support the executive/client’s personal and professional life.
- Maintain strict confidentiality regarding all personal and professional matters.
Required Skills
- Proven experience (2+ years) as a Personal Assistant or Executive Assistant to a senior executive or high-net-worth individual.
- Exceptional organizational and time management skills with a keen eye for detail.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent verbal and written communication skills in English.
- Impeccable discretion and a strong understanding of confidentiality.
- Ability to multitask, prioritize, and manage time effectively under pressure.
- Proactive problem-solver with strong initiative and a meticulous approach.
- Valid driver's license and a clean driving record.
Preferred Qualifications
- Bachelor's degree in Business Administration, Hospitality Management, or a related field.
- Experience with international travel arrangements and cultural etiquette.
- Familiarity with luxury service standards and protocols.
- Ability to adapt to changing schedules and priorities with grace and professionalism.
- Background in hospitality, private household management, or executive support within financial services.
