Job Description
Are you exceptionally organized, detail-oriented, and possess excellent communication skills? RBC is seeking a highly motivated Virtual Scheduling & Calendar Assistant to provide comprehensive administrative support to our teams. This is a part-time, 100% remote position, offering flexibility and the opportunity to contribute to a dynamic work environment from anywhere in Canada. No degree is required; we value your practical skills, initiative, and ability to manage complex schedules efficiently. You will be responsible for managing calendars, coordinating meetings, and ensuring seamless communication flow within various departments. The ideal candidate is proactive, tech-savvy, and capable of working independently to meet deadlines.
Key Responsibilities
- Manage and maintain complex calendars, scheduling appointments, meetings, and conference calls.
- Coordinate logistics for virtual meetings, including setting up virtual platforms and sending invitations.
- Act as a primary point of contact for scheduling inquiries and resolve conflicts efficiently.
- Prepare meeting agendas, take concise notes, and distribute action items as required.
- Organize and prioritize daily tasks, emails, and communications for assigned team members.
- Assist with travel arrangements and expense reports as needed (minimal for a remote role but possible).
- Maintain confidentiality and handle sensitive information with discretion.
- Proactively identify and address potential scheduling conflicts or issues.
Required Skills
- Proficiency with calendar management software (e.g., Google Calendar, Outlook Calendar).
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- High level of attention to detail and accuracy.
- Ability to work independently and manage multiple priorities effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams).
