Key Responsibilities
- Serve as the primary point of contact for administrative inquiries from account managers and clients, ensuring timely and accurate responses.
- Assist in the preparation and processing of client account documentation, including new account setups, transfers, and updates.
- Coordinate and schedule client meetings, presentations, and internal team discussions, managing calendars and virtual meeting logistics.
- Maintain and update client records and databases with meticulous attention to detail and data integrity.
- Generate routine reports and summaries for account performance, client activity, and operational metrics.
- Collaborate with various internal departments, including compliance, operations, and IT, to resolve client issues and streamline workflows.
- Research and resolve discrepancies or issues related to client accounts, escalating complex cases as needed.
- Ensure all activities comply with regulatory requirements and internal company policies.
- Proactively identify opportunities for process improvement and contribute to the development of best practices within the virtual team.
Required Skills
- Minimum of 2 years of experience in an administrative, coordination, or customer service role, preferably in a financial services environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual collaboration tools (e.g., Zoom, Microsoft Teams).
- Excellent written and verbal communication skills with a professional and empathetic demeanor.
