Job Description

We are seeking a highly organized, friendly, and detail-oriented Front Desk Professional to join our thriving skin clinic in San Antonio, TX. As the first point of contact for our patients, you will play a crucial role in creating a welcoming and efficient experience. This position requires excellent customer service skills, the ability to manage multiple tasks, and a proactive approach to patient care and administrative duties. Key Responsibilities

  • Warmly greet and welcome patients and visitors to the clinic, ensuring a positive first impression.
  • Efficiently answer multi-line phone systems, address inquiries, and direct calls appropriately.
  • Schedule and confirm patient appointments, managing the clinic's calendar to optimize flow.
  • Process patient registrations, update demographic and insurance information accurately.
  • Handle patient check-ins and check-outs, including collecting co-payments and processing payments.
  • Maintain patient records with strict confidentiality and compliance with HIPAA regulations.
  • Manage incoming and outgoing correspondence, including faxes, emails, and mail.
  • Assist with opening and closing procedures, ensuring the reception area is tidy and organized.
  • Address patient concerns and provide solutions in a professional and empathetic manner.
  • Collaborate with medical staff to ensure seamless patient care and operational efficiency.

Required Skills

  • Minimum of 1 year of experience in a front desk, administrative, or customer service role.
  • Exceptional interpersonal and communication skills (verbal and written).
  • Proficiency in computer systems and office software (e.g., Microsoft Office Suite).
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • High level of professionalism, discretion, and reliability.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Experience in a medical office, dermatology clinic, or spa setting.
  • Familiarity with Electronic Medical Record (EMR) systems.
  • Knowledge of medical terminology and insurance verification processes.
  • High school diploma or equivalent; Associate's degree or higher preferred.
