Job Description

We are seeking a dedicated and organized Program Assistant to join our dynamic team in the non-profit sector. This full-time, on-site position operates Monday through Friday, providing crucial administrative and programmatic support to our various initiatives. The ideal candidate will be passionate about community service, possess excellent organizational skills, and thrive in a collaborative environment. You will play a vital role in ensuring the smooth operation of our programs, supporting program managers, and contributing directly to our mission of creating a stronger, healthier community.

Key Responsibilities

  • Provide comprehensive administrative support to program managers and team members.
  • Coordinate and schedule meetings, workshops, and events, including managing invitations, RSVPs, and logistics.
  • Prepare and distribute program-related materials, reports, presentations, and correspondence.
  • Maintain accurate program records, databases, and filing systems (both physical and digital).
  • Assist with data entry, tracking program outcomes, and compiling information for reports.
  • Liaise with partner agencies, volunteers, and community stakeholders as directed.
  • Process invoices, expense reports, and other financial documentation in accordance with organizational policies.
  • Support the development and implementation of new program initiatives.
  • Respond to inquiries from program participants and the public in a professional and timely manner.
  • Assist with volunteer recruitment, training, and coordination for specific program activities.

Required Skills

  • Minimum 1 year of administrative or program support experience, preferably in a non-profit setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proactive and self-motivated with a strong work ethic.
  • Ability to work collaboratively in a team environment.
  • High school diploma or equivalent.

Preferred Qualifications

  • Associate's or Bachelor's degree in a relevant field (e.g., Non-profit Management, Public Administration, Social Work).
  • Experience with CRM software or database management systems.
  • Familiarity with the Central Oklahoma non-profit landscape.
  • Bilingual proficiency (English/Spanish).
