Job Description

We are seeking a proactive and highly organized Pinterest Administrative Partner to provide comprehensive administrative and business support to our marketing and social media strategy teams, particularly those focused on leveraging platforms like Pinterest. In this pivotal role, you will ensure seamless operations, manage complex schedules, facilitate communication, and contribute to the efficiency and effectiveness of our strategic initiatives. The ideal candidate will possess exceptional organizational skills, a strong ability to multitask, and a keen understanding of supporting fast-paced business environments.

Key Responsibilities

  • Manage and maintain complex calendars, schedule meetings, and coordinate travel arrangements for team leads and executives.
  • Prepare and edit presentations, reports, and correspondence, ensuring accuracy and professional presentation.
  • Organize and maintain digital and physical files, ensuring easy accessibility and compliance with company policies.
  • Act as a central point of contact for internal and external stakeholders, handling inquiries with professionalism and discretion.
  • Assist in budget tracking, expense reporting, and procurement processes for team resources.
  • Coordinate internal and external events, workshops, and team-building activities.
  • Facilitate effective communication channels within the team and across departments.
  • Proactively identify and address administrative needs, implementing solutions to improve efficiency.
  • Support special projects and initiatives as assigned, demonstrating flexibility and adaptability.

Required Skills

  • Minimum of 3 years of administrative support experience in a corporate environment.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities, with meticulous attention to detail.
  • Ability to prioritize tasks and manage multiple projects simultaneously under pressure.
  • Discretion and confidentiality in handling sensitive information.
  • Proven ability to work independently and collaboratively within a team.

Preferred Qualifications

  • Associate’s or Bachelor’s degree in Business Administration or a related field.
  • Experience supporting marketing or digital strategy teams.
  • Familiarity with project management tools (e.g., Asana, Trello) and communication platforms (e.g., Slack, Microsoft Teams).
  • Understanding of social media platforms, particularly Pinterest, in a business context.
  • Experience in a large, global organization.
