Job Description
We are seeking a highly organized and proactive Pinterest Administrative Partner to join our Business Support team. This role is crucial in providing comprehensive administrative and operational support, specifically within departments that leverage Pinterest for marketing, brand building, and customer engagement. You will ensure smooth day-to-day operations, contribute to project efficiency, and support strategic initiatives by managing schedules, data, and communications.
Key Responsibilities
- Manage and maintain complex calendars, schedule meetings, and coordinate appointments for senior team members and cross-functional project groups.
- Prepare, proofread, and format documents, presentations, and reports, ensuring accuracy and adherence to company brand guidelines.
- Serve as a primary point of contact for internal and external inquiries, directing communications efficiently and professionally.
- Organize and maintain digital and physical filing systems, ensuring sensitive information is handled with confidentiality.
- Assist with data entry, tracking, and reporting related to Pinterest campaign performance, content calendars, and team productivity metrics.
- Coordinate travel arrangements and process expense reports in compliance with company policies.
- Facilitate team meetings, including preparing agendas, taking minutes, and tracking action items.
- Support special projects and initiatives as assigned, contributing to research, organization, and execution tasks.
- Order and manage office supplies, equipment, and other resources to ensure a productive work environment.
Required Skills
- Proven experience in an administrative or executive assistant role, demonstrating strong organizational skills.
- Exceptional written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- High level of attention to detail and accuracy in all tasks.
- Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
- Strong interpersonal skills with the ability to build rapport and work effectively with diverse teams.
- Familiarity with digital collaboration tools and communication platforms.
- Demonstrated ability to maintain confidentiality and exercise discretion.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Marketing, or a related field.
- Previous experience in the retail or e-commerce industry.
- Experience supporting teams involved in social media marketing or digital content management, especially Pinterest.
- Proficiency with project management software (e.g., Asana, Trello) and CRM systems.
- A proactive mindset with a willingness to take initiative and suggest improvements.
