Job Description
We are seeking a highly organized, proactive, and detail-oriented Personal Office Assistant to support our team in our Milwaukee office. This role is crucial for ensuring the smooth daily operations of our boutique firm, managing administrative tasks, and providing direct support to attorneys and staff. The ideal candidate will be a self-starter with excellent communication skills and a professional demeanor, capable of handling a variety of responsibilities in a fast-paced environment.
Key Responsibilities
- Manage and maintain executive calendars, schedule meetings, and coordinate appointments.
- Prepare and format legal documents, correspondence, and presentations.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Organize and maintain physical and electronic filing systems, ensuring confidentiality and accessibility.
- Coordinate travel arrangements and process expense reports.
- Order and maintain office supplies, ensuring adequate stock levels.
- Assist with office event planning and client hospitality.
- Provide general administrative support to ensure efficient office operations.
- Act as a liaison between internal departments and external clients or vendors.
Required Skills
- Proven experience in an administrative or office support role (minimum 1 year).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to maintain confidentiality and exercise discretion.
- Detail-oriented with a high level of accuracy.
- Ability to work independently and as part of a team.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Business Administration or related field.
- Experience working in a legal, professional services, or boutique firm environment.
- Familiarity with legal terminology and document management systems.
- Experience with scheduling software and virtual meeting platforms.
