Job Description

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to senior leadership in our West Covina office. This critical role requires exceptional professionalism, advanced administrative skills, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will be instrumental in ensuring the smooth and efficient operation of the executive office, contributing directly to the strategic objectives of the organization. Relocation assistance is available for qualified candidates.

Key Responsibilities

  • Manage and maintain complex executive calendars, including scheduling meetings, appointments, and conferences.
  • Coordinate and arrange domestic and international travel logistics, including flights, accommodation, and ground transportation.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and directing inquiries appropriately.
  • Organize and facilitate meetings, prepare agendas, record minutes, and ensure timely follow-up on action items.
  • Handle confidential information with the utmost discretion and integrity.
  • Process expense reports, invoices, and other financial documentation.
  • Support special projects and initiatives as assigned by the executive team.
  • Maintain an organized filing system and manage office supplies inventory.

Required Skills

  • Minimum of 5 years of experience as an Executive Assistant supporting C-suite or senior-level executives.
  • Exceptional organizational and time-management skills with a strong attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Strong interpersonal skills with the ability to build rapport with diverse stakeholders.
  • Proactive and self-motivated with the ability to work independently and as part of a team.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience working in a large corporate or healthcare environment.
  • Familiarity with project management methodologies and tools.
  • Certification as an Administrative Professional (CAP) or equivalent.
