Job Description
We are seeking a dedicated and highly organized Administrative Secretary to join our team in Long Beach, CA. This full-time position offers a stable Monday-Friday roster, providing consistent work hours in a supportive and professional environment. The ideal candidate will be instrumental in ensuring the smooth operation of our administrative functions, providing critical support to our department and leadership. Key Responsibilities
- Manage and maintain executive calendars, scheduling appointments and meetings.
- Prepare and distribute correspondence, memos, reports, and presentations.
- Organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
- Handle incoming calls, emails, and other communications, directing them to the appropriate personnel.
- Maintain accurate and confidential departmental records and filing systems.
- Assist with budget tracking, expense reports, and procurement processes.
- Coordinate travel arrangements and accommodations for staff as needed.
- Provide general administrative support to various teams and projects.
- Order and maintain office supplies, ensuring adequate stock levels.
- Facilitate communication between internal departments and external stakeholders.
