Job Description

We are seeking a dedicated and meticulous Museum Registrar with a specialized focus on fossil collections and the legalities surrounding their acquisition and management. This pivotal role ensures the ethical, legal, and professional stewardship of our invaluable fossil specimens. The ideal candidate will possess a deep understanding of museum best practices, cultural heritage laws, and the unique challenges associated with paleontological materials, especially concerning their provenance and legal acquisition. You will be responsible for maintaining comprehensive records, managing all legal aspects of acquisitions and loans, and ensuring compliance with national and international regulations.

Key Responsibilities

  • Manage and maintain comprehensive cataloging, inventory, and location control records for fossil collections, ensuring accuracy and accessibility.
  • Oversee all legal and ethical considerations related to the acquisition, deaccession, and loan of fossil specimens, conducting thorough due diligence.
  • Draft, review, and negotiate legal agreements for acquisitions, loans, and intellectual property use pertaining to fossil materials.
  • Ensure strict compliance with national and international laws, treaties, and institutional policies regarding cultural heritage and paleontological resources (e.g., UNESCO, CITES, NAGPRA, state antiquities laws).
  • Coordinate and manage the logistics of national and international fossil shipments, including packing, customs documentation, insurance, and couriering.
  • Develop, implement, and update collection management policies and procedures specific to legal and ethical acquisition and care of fossils.
  • Act as a primary liaison with legal counsel, government agencies, donors, and other institutions on matters concerning fossil provenance, ownership, and movement.
  • Provide expert advice and training to staff and researchers on legal and ethical guidelines for working with fossil collections.
  • Prepare reports and documentation for audits, accreditations, and internal reviews.

Required Skills

  • Bachelor's degree in Museum Studies, Paleontology, Geology, Archaeology, History, or a related field.
  • Minimum of 3 years of experience in museum registration, collections management, or a similar role, with specific experience in natural history or paleontological collections.
  • Demonstrated knowledge of cultural heritage laws, intellectual property rights, and ethical standards pertaining to museum collections, especially fossils.
  • Proficiency with museum collection management databases (e.g., Specify, KE EMu, Arctos).
  • Exceptional organizational skills, meticulous attention to detail, and ability to manage complex documentation.
  • Strong written and verbal communication skills, including the ability to draft legal documents and policies.
  • Ability to work independently and collaboratively in a dynamic research and academic environment.

Preferred Qualifications

  • Master's degree in Museum Studies, Law (with a focus on cultural heritage), Paleontology, or a closely related discipline.
  • Experience working within a university or large research institution.
  • Familiarity with risk management and insurance practices for valuable collections.
  • Knowledge of conservation best practices for paleontological specimens.
  • Certification in collections management or legal ethics related to cultural property.
