Job Description
We are seeking a highly organized and discreet Administrative Assistant to provide comprehensive support to our diplomatic team in Mississauga. This role is crucial for ensuring the smooth operation of daily consular and administrative functions, contributing directly to our mission of strengthening international relations. The successful candidate will be a proactive problem-solver with exceptional interpersonal skills and a keen eye for detail.
Key Responsibilities
- Manage and maintain executive calendars, scheduling appointments and meetings.
- Prepare, edit, and distribute correspondence, reports, presentations, and other documents.
- Organize and coordinate logistical arrangements for events, visits, and official functions.
- Handle incoming and outgoing communications, including phone calls, emails, and diplomatic pouches, exercising discretion and confidentiality.
- Maintain organized filing systems, both digital and physical, ensuring data integrity and accessibility.
- Assist with basic financial administration, including expense reports and procurement requests.
- Support visitor reception and provide general office management assistance.
- Collaborate with internal teams to facilitate cross-departmental communication and projects.
Required Skills
- Proven administrative support experience, preferably in a fast-paced environment.
- Excellent written and verbal communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management abilities, with meticulous attention to detail.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Capacity to work independently and as part of a diverse team.
Preferred Qualifications
- Previous experience within a diplomatic mission, international organization, or government agency.
- Fluency in a second language, particularly French.
- Familiarity with diplomatic protocols and procedures.
- Post-secondary education in business administration, international relations, or a related field.
