Job Description

We are seeking a highly organized and proactive Admin Assistant to join our supportive management team. In this role, you will be instrumental in ensuring the smooth daily operations of our department, providing comprehensive administrative support, and acting as a key point of contact for internal and external stakeholders. Key Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and coordinate internal and external meetings, ensuring all necessary materials are prepared and distributed.
  • Act as a primary point of contact, screening calls and directing inquiries appropriately.
  • Process expense reports, manage invoices, and assist with budget tracking.
  • Maintain an organized filing system, both electronic and physical, ensuring easy retrieval of information.
  • Assist with special projects and events as assigned by the management team.
  • Order and maintain office supplies and equipment inventory.
  • Handle confidential information with discretion and integrity.
  • Foster a positive and efficient working environment by providing proactive support.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to multitask and prioritize effectively in a fast-paced environment
  • High level of attention to detail and accuracy
  • Demonstrated problem-solving skills
  • Ability to maintain confidentiality and handle sensitive information with discretion

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field
  • Experience in a healthcare or corporate administrative support role
  • Familiarity with project management software or tools
  • Knowledge of basic accounting principles
