Job Description

We are seeking a dedicated and organized WFH Office Aide to provide essential administrative and operational support to our small teams working remotely. This 100% remote position is perfect for an individual who thrives in a virtual environment, possesses excellent communication skills, and is adept at managing multiple tasks efficiently. You will play a crucial role in ensuring the smooth day-to-day operations of our remote teams, contributing directly to their productivity and success.

Key Responsibilities

  • Manage and organize digital files and documents, ensuring accessibility and proper version control.
  • Schedule and coordinate virtual meetings, including sending invitations, managing RSVPs, and preparing meeting materials.
  • Assist with data entry and maintaining various databases and spreadsheets.
  • Process and track expenses, invoices, and other financial documentation.
  • Handle incoming communications, including emails and internal messages, and direct them to the appropriate team members.
  • Prepare reports, presentations, and other documents as requested.
  • Support team members with basic technical troubleshooting for common remote work tools (e.g., video conferencing platforms).
  • Order and manage remote office supplies for team members, ensuring timely delivery.
  • Serve as a central point of contact for general administrative inquiries.
  • Contribute to a positive and collaborative remote team culture.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Ability to work independently and manage priorities in a remote setting.
  • Attention to detail and accuracy.
  • Reliable high-speed internet connection and a dedicated home office space.

Preferred Qualifications

  • High school diploma or equivalent; post-secondary education in administration or a related field is a plus.
  • Previous experience in an administrative support role, especially in a remote capacity.
  • Familiarity with project management tools (e.g., Trello, Asana) and communication platforms (e.g., Microsoft Teams, Slack).
  • Basic understanding of financial processes and expense reporting.
