Job Description
We are seeking a highly organized, empathetic, and enthusiastic Veterinary Clinic Receptionist to join our busy team. This client-facing role is critical to our practice, serving as the first point of contact for our clients and their beloved pets. You will manage a high volume of calls and in-person inquiries, schedule appointments, process payments, and ensure a smooth, positive experience for everyone who walks through our doors. The ideal candidate thrives in a fast-paced environment, possesses excellent communication skills, and has a genuine love for animals and their owners.
Key Responsibilities
- Greet clients and their pets warmly, managing check-ins and check-outs efficiently.
- Answer multi-line phones, address inquiries, and direct calls appropriately.
- Schedule and confirm appointments, ensuring optimal flow and minimizing wait times.
- Process payments, manage billing, and maintain accurate client records.
- Educate clients on preventative care, hospital policies, and services offered.
- Maintain a clean, organized, and welcoming reception area.
- Handle client concerns with professionalism and empathy.
- Assist with administrative tasks and support veterinary staff as needed.
Required Skills
- Minimum of 1 year experience in a client-facing customer service role.
- Exceptional communication and interpersonal skills, both verbal and written.
- Proficiency with office software (MS Office, Google Suite) and ability to learn veterinary practice management software quickly.
- Strong organizational skills and ability to multitask in a fast-paced environment.
- High school diploma or equivalent.
- Genuine love for animals and a compassionate demeanor.
Preferred Qualifications
- Previous experience in a veterinary clinic or medical office setting.
- Knowledge of veterinary terminology and procedures.
- Experience with Avimark, Cornerstone, or similar veterinary software.
- Associate's degree or higher in a relevant field.
