Job Description

We are seeking a diligent and enthusiastic Office Operations Aide to join our team. This entry-level position is perfect for individuals looking to start their career in a supportive healthcare environment. The Office Operations Aide will provide essential administrative and operational support to ensure the smooth functioning of our various office departments. This role requires a high degree of organization, attention to detail, and a proactive approach to tasks. You will be instrumental in maintaining an efficient and welcoming office atmosphere.

Key Responsibilities

  • Perform general clerical duties including photocopying, scanning, mailing, and filing.
  • Maintain and organize office files and records, both physical and digital.
  • Assist with inventory management of office supplies and place orders as needed.
  • Distribute incoming mail and prepare outgoing mail and packages.
  • Provide administrative support to various departments and staff members.
  • Assist with scheduling appointments and managing calendars as required.
  • Ensure office equipment is functioning properly and coordinate maintenance when necessary.
  • Maintain cleanliness and organization of common office areas.
  • Handle incoming calls and direct them to the appropriate personnel.
  • Greet visitors and direct them to the correct department or individual.

Required Skills

  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication abilities.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to prioritize tasks and manage time effectively.
  • Proactive and willing to learn new skills.
  • Ability to work independently and as part of a team.
  • High school diploma or GED equivalent.

Preferred Qualifications

  • Previous experience in an office setting (even volunteer or temporary).
  • Familiarity with medical office procedures.
  • Experience with multi-line phone systems.
