Job Description
We are seeking a highly organized and compassionate Administrative Assistant to join our dynamic team at the Children’s Hospital Colorado Foundation. This rewarding role is critical in supporting our daily operations and ensuring the smooth functioning of our administrative processes. The ideal candidate will be a proactive, detail-oriented individual with a passion for our mission and excellent communication skills. You will be instrumental in providing administrative support to multiple departments, managing schedules, coordinating meetings, and handling correspondence, all while contributing to a cause that truly matters.
Key Responsibilities
- Provide comprehensive administrative support to various departments and leadership staff.
- Manage calendars, schedule meetings, and coordinate events, including logistical arrangements.
- Prepare, edit, and distribute correspondence, presentations, and other documents.
- Maintain organized filing systems, both digital and physical, ensuring data accuracy and accessibility.
- Process invoices, expense reports, and other financial documentation in accordance with foundation policies.
- Answer and direct phone calls, greet visitors, and manage general office inquiries professionally.
- Assist with donor acknowledgment processes and database management as needed.
- Order and maintain office supplies, ensuring adequate stock levels.
- Support special projects and initiatives as assigned by senior staff.
Required Skills
- Minimum of 1 year of administrative support experience, preferably in a non-profit setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- High level of discretion and ability to handle confidential information.
- Proven ability to work independently and as part of a team.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience with donor management software (e.g., Salesforce, Raiser's Edge).
- Familiarity with non-profit operations and fundraising principles.
- Experience working in a healthcare or hospital environment.
