Job Description

We are seeking a highly organized and detail-oriented Executive Support Associate to provide comprehensive administrative and operational support to our senior leadership team. This crucial role is responsible for ensuring the smooth daily functioning of executive operations, managing schedules, coordinating communications, and handling various administrative tasks with the utmost discretion and professionalism. The ideal candidate thrives in a fast-paced environment and is committed to delivering exceptional support, specifically within a Monday-Friday work schedule, ensuring a consistent work-life balance.

Key Responsibilities

  • Manage complex calendars, scheduling meetings, appointments, and travel arrangements for executives.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and maintain files and records, ensuring information is readily accessible and confidential.
  • Act as a liaison between executives and internal/external stakeholders, managing incoming calls and emails.
  • Coordinate and organize executive meetings, including preparing agendas, recording minutes, and tracking action items.
  • Assist with special projects and initiatives as directed by the executive team.
  • Process expense reports and manage office supplies.
  • Ensure all administrative tasks are completed accurately and efficiently within a Monday-Friday framework.

Required Skills

  • Proven experience in an administrative or executive support role.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong verbal and written communication abilities.
  • High level of discretion and ability to handle confidential information.
  • Ability to prioritize tasks and work independently with minimal supervision.
  • Problem-solving aptitude.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience supporting multiple executives simultaneously.
  • Familiarity with project management tools.
  • Prior experience in the retail industry.
