Job Description

We are seeking a highly organized, proactive, and discreet Executive Administrative Support professional to join our team in New Port Richey. This pivotal role involves providing comprehensive administrative assistance to senior attorneys and executive leadership, ensuring the smooth and efficient operation of their daily activities. The ideal candidate will be an integral part of our dynamic legal environment, managing complex schedules, preparing critical documents, and facilitating communication with exceptional attention to detail and professionalism. Key Responsibilities

  • Manage intricate calendars, schedule meetings, appointments, and travel arrangements for senior attorneys and executive staff.
  • Prepare, proofread, and format legal documents, correspondence, reports, and presentations with impeccable accuracy.
  • Act as a primary point of contact, screening calls, responding to inquiries, and liaising with clients, court personnel, and other external stakeholders.
  • Maintain organized physical and electronic filing systems, ensuring confidentiality and easy retrieval of sensitive information.
  • Process expense reports, invoices, and other financial documentation in compliance with firm policies.
  • Coordinate and prepare materials for board meetings, client briefings, and internal presentations.
  • Assist with special projects, research tasks, and firm events as assigned by executive leadership.
  • Anticipate needs and proactively provide support to enhance the productivity and efficiency of executive team members.

Required Skills

  • Minimum of 3 years of executive administrative support experience, preferably within a legal or professional services environment.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
  • Exceptional organizational and time management skills with the ability to prioritize multiple tasks in a fast-paced setting.
  • Superior written and verbal communication skills, with a keen eye for detail and grammar.
  • Proven ability to handle confidential information with discretion and integrity.
  • Strong interpersonal skills and a professional demeanor for interacting with high-level clients and internal staff.
  • Proactive problem-solving abilities and a strong sense of initiative.

Preferred Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Legal Studies, or a related field.
  • Experience with legal case management software (e.g., Clio, MyCase).
  • Familiarity with legal terminology and document formats.
  • Notary Public commission.
