Job Description

We are seeking a highly detail-oriented and experienced Records Management Specialist to join our team, supporting a critical federal agency project. This role focuses on the meticulous organization, maintenance, and compliance of digital records, with a specialized emphasis on a system or framework referred to as ‘Pinterest Records Management’. The successful candidate will ensure adherence to federal records management regulations, best practices, and data governance policies. You will play a vital role in safeguarding information integrity, accessibility, and retrievability for government operations.

Key Responsibilities

  • Develop, implement, and maintain records management policies and procedures in accordance with federal guidelines (e.g., NARA, OMB).
  • Categorize, index, and archive digital assets and records, potentially within a 'Pinterest'-like organizational framework.
  • Ensure the proper lifecycle management of records, including creation, use, maintenance, and disposition.
  • Conduct regular audits to ensure compliance with records management requirements and identify areas for improvement.
  • Provide expert guidance and training to agency staff on records management best practices and system usage.
  • Collaborate with IT and security teams to ensure the secure storage and accessibility of electronic records.
  • Assist in the preparation for and response to audits, investigations, and Freedom of Information Act (FOIA) requests.
  • Manage records retention schedules and ensure timely and compliant disposition of records.
  • Identify and mitigate risks related to records management, data integrity, and compliance.

Required Skills

  • Minimum 3 years of experience in records management, information governance, or a related field.
  • Demonstrable knowledge of federal records management regulations and policies (e.g., NARA 36 CFR Chapter XII, OMB Circular A-130).
  • Proficiency with digital records management systems and electronic content management (ECM) platforms.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to analyze complex information and develop clear, concise documentation.
  • Excellent written and verbal communication skills.
  • U.S. Citizenship required for federal agency support.
  • Ability to obtain and maintain a U.S. government security clearance.

Preferred Qualifications

  • Bachelor's degree in Library Science, Information Management, Public Administration, or a related discipline.
  • Certified Records Manager (CRM) or other relevant professional certifications.
  • Experience working directly with federal agencies or within a government contracting environment.
  • Familiarity with data visualization tools or innovative digital asset categorization methods.
  • Project management experience in an information management context.
