Job Description

We are seeking a diligent and organized Remote File Clerk with a strong focus on digital records to join our growing administrative team. This 100% remote position is crucial for maintaining the integrity and accessibility of our digital information assets. The ideal candidate will be meticulous, tech-savvy, and possess excellent organizational skills to manage and process digital documents efficiently. You will play a key role in ensuring our digital records systems are accurate, up-to-date, and compliant with all relevant regulations, contributing directly to our operational efficiency and patient care support.

Key Responsibilities

  • Accurately index, classify, and store digital documents and records in the designated electronic document management systems (EDMS).
  • Perform quality checks on scanned documents to ensure clarity, completeness, and adherence to established naming conventions.
  • Retrieve and distribute digital files as requested by authorized personnel, maintaining strict confidentiality and security protocols.
  • Assist in migrating physical records to digital formats through scanning and data entry, ensuring proper categorization.
  • Maintain an organized and accessible digital filing structure, identifying and correcting any discrepancies or errors.
  • Adhere to company policies and regulatory requirements (e.g., HIPAA) regarding document retention, privacy, and security.
  • Collaborate with team members to streamline digital filing processes and improve overall efficiency.
  • Provide support for basic data entry and administrative tasks as needed.

Required Skills

  • Proficiency in using computers and standard office software (e.g., Microsoft Office Suite).
  • Strong organizational skills and exceptional attention to detail.
  • Ability to learn and adapt to new software and digital filing systems quickly.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage time effectively in a remote environment.
  • Understanding of data confidentiality and privacy principles.
