Job Description
We are seeking a highly organized and proactive Virtual Assistant to join our Executive Assistant (EA) Teams. This is a 100% online, work-from-home position designed to provide seamless administrative support to our executives and leadership. The ideal candidate will be a meticulous planner, an excellent communicator, and possess strong technical skills to manage a variety of tasks remotely. You will be an integral part of a dynamic team, ensuring efficient operations and contributing to the overall success of our projects.
Key Responsibilities
- Manage complex calendars, scheduling appointments and coordinating meetings across multiple time zones.
- Handle email correspondence, prioritizing messages, drafting responses, and ensuring timely communication.
- Organize and maintain digital files and documents, ensuring accessibility and adherence to company protocols.
- Prepare presentations, reports, and other documents using various office software.
- Coordinate virtual team meetings, including setting up technology, preparing agendas, and distributing minutes.
- Assist with travel arrangements and expense reporting, even if virtual, coordinating logistics and itineraries.
- Conduct online research and compile information as needed for various projects.
- Provide general administrative support to alleviate workload from executive assistants and leadership.
Required Skills
- Exceptional organizational and time management abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a virtual team.

Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Previous experience as a Virtual Assistant, Executive Assistant, or administrative support role.
- Familiarity with project management tools (e.g., Asana, Trello) and communication platforms (e.g., Microsoft Teams, Zoom).
- Experience working in a fast-paced, professional services environment.
