Job Description
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to our senior leadership team based in Oakland. The ideal candidate will be instrumental in managing complex schedules, coordinating meetings, preparing communications, and ensuring the smooth operation of daily executive functions. This role requires exceptional attention to detail, strong communication skills, and the ability to handle confidential information with the utmost professionalism.
Key Responsibilities
- Manage and maintain executives' complex calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Coordinate and organize internal and external meetings, including preparing agendas, taking minutes, and distributing materials.
- Act as a primary point of contact for internal and external stakeholders, screening and directing communications as appropriate.
- Process expense reports and manage departmental invoices and budgets.
- Conduct research, compile data, and prepare reports as requested.
- Maintain an organized filing system for important documents, both physical and electronic.
- Assist with special projects and events as assigned.
- Ensure office supplies and equipment are maintained and stocked.
Required Skills
- Minimum of 5 years of experience supporting C-level executives or senior management.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office management software.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- High level of discretion and ability to handle confidential information.
- Proactive problem-solving and decision-making capabilities.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Attention to detail and accuracy.
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
- Experience within the healthcare industry or a large corporate environment.
- Familiarity with project management tools and virtual collaboration platforms.
