Job Description

We are seeking a highly organized, detail-oriented, and proactive individual to join our team as a Policy Coordinator – Professional Legal Secretary mix. This unique role combines the strategic support of policy coordination with the essential administrative functions of a legal secretary. The ideal candidate will be instrumental in supporting our legal and policy teams, managing critical documentation, facilitating communication, and ensuring the smooth operation of daily tasks within a dynamic legal environment. Key Responsibilities

  • Provide comprehensive administrative support to attorneys and policy advisors, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Draft, proofread, and format legal documents, correspondence, reports, and policy briefs with precision and adherence to firm standards.
  • Assist in research related to policy initiatives, legislative changes, and regulatory compliance.
  • Organize and maintain physical and electronic files, ensuring confidentiality and accessibility of sensitive information.
  • Act as a liaison between internal departments, external stakeholders, and clients, managing communications effectively.
  • Coordinate logistics for policy-related events, workshops, and committee meetings.
  • Process invoices, expense reports, and maintain accurate records for billing purposes.
  • Monitor and track legislative developments relevant to the firm's policy work.

Required Skills

  • Proven experience in a legal secretarial or administrative role within a legal or policy-focused environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.
  • Strong organizational skills and meticulous attention to detail.
  • Ability to manage multiple priorities and deadlines effectively.
  • Demonstrated discretion and professionalism when handling confidential information.
  • Familiarity with legal terminology and administrative procedures.

Preferred Qualifications

  • Associate's or Bachelor's degree in Legal Studies, Public Policy, Political Science, or a related field.
  • Previous experience with legal research platforms (e.g., LexisNexis, Westlaw).
  • Certification as a Legal Secretary (e.g., PLS/ALP) or Paralegal.
  • Experience coordinating policy events or projects.
