Job Description
We are seeking a highly reliable and exceptionally organized WFH Administrative Partner to join our dynamic team. This is a 100% remote position, offering the flexibility to work from your home office while making a significant contribution to the efficient operation of our administrative functions. The ideal candidate will be self-motivated, possess strong communication skills, and demonstrate a keen eye for detail. You will be instrumental in supporting various departments, ensuring smooth administrative processes and effective coordination across our virtual teams. Your ability to anticipate needs and proactively manage tasks will be key to your success in this role.
Key Responsibilities
- Manage and organize digital files and documents, ensuring easy accessibility, proper categorization, and compliance with company policies.
- Schedule and coordinate virtual meetings, including sending invitations, managing RSVPs, setting up virtual meeting rooms, and preparing essential meeting materials.
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents to ensure accuracy and professionalism.
- Handle incoming communications, including emails and phone calls, and efficiently direct them to the appropriate personnel or departments.
- Assist with accurate data entry and maintenance of various databases and tracking systems.
- Support project teams with diverse administrative tasks, such as tracking deadlines, monitoring progress, and compiling comprehensive reports.
- Coordinate domestic and international travel arrangements and process expense reports for remote team members as needed.
- Order and manage office supplies for remote teams, ensuring necessary resources are readily available and within budget.
- Proactively identify opportunities and implement improvements to existing administrative processes for enhanced efficiency and effectiveness.
- Provide general administrative support to senior leadership and team members across different departments.
Required Skills
- Proven experience (minimum 1 year) in an administrative or executive assistant role.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively in a remote environment.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Microsoft Teams, Zoom).
- Strong written and verbal communication skills, with excellent grammar and punctuation.
- High level of accuracy and meticulous attention to detail.
- Ability to work independently with minimal supervision and as an integral part of a virtual team.
- Demonstrated discretion and ability to handle confidential information with integrity.
Preferred Qualifications
- Previous experience specifically working in a 100% remote administrative role.
- Familiarity with project management software (e.g., Asana, Trello, Jira).
- Post-secondary education or certification in business administration or a related field.
- Experience working within the energy industry.
