Job Description

The Natural History Specimen Coordinator – Database Management plays a crucial role in the care, organization, and accessibility of our extensive natural history collections. This position involves the accurate cataloging, digitizing, and management of specimen data within our collection management systems. The coordinator will be responsible for ensuring data integrity, facilitating specimen loans and access, and supporting research initiatives by maintaining a high standard of collection information. This role requires meticulous attention to detail, a strong understanding of natural history collections, and proficiency in database management.

Key Responsibilities

  • Accurately catalog and digitize natural history specimens (e.g., botany, entomology, paleontology, zoology) into the collection management database.
  • Ensure data integrity and consistency across all specimen records, performing regular audits and updates.
  • Manage the physical organization and storage of specimens, including rehousing and inventory tasks.
  • Assist with the preparation and processing of specimen loans, ensuring compliance with institutional policies and national/international regulations.
  • Provide support for researchers and visiting scientists requiring access to collections and data.
  • Contribute to the development and implementation of collection policies and procedures.
  • Collaborate with other collection staff and departments on various projects related to collection care and accessibility.
  • Generate reports and summaries from the database for internal and external stakeholders.

Required Skills

  • Proven experience with natural history collection management, specifically with specimens.
  • Demonstrated proficiency in using collection management software (e.g., Specify, Arctos, EMu) or similar relational databases.
  • Strong understanding of taxonomic principles and biodiversity data standards.
  • Excellent organizational skills and meticulous attention to detail.
  • Ability to work independently and as part of a team.
  • Effective written and verbal communication skills.
  • Proficiency with standard office software (e.g., Microsoft Office Suite).

Preferred Qualifications

  • Bachelor's degree in Biology, Ecology, Museum Studies, Library Science, or a related field.
  • Experience with imaging and digital asset management for natural history specimens.
  • Familiarity with GIS and georeferencing techniques for specimen localities.
  • Previous experience in a large research institution or museum setting.
  • Knowledge of conservation best practices for natural history collections.
